Terms of Service

1. Who we are and what this policy covers

Azonic Limited is a New Zealand company based in Auckland. We are responsible for the personal information we collect through www.azonic.pro, our forms, recruitment, publishing and related correspondence, and we handle it in line with the New Zealand Privacy Act 2020 and other privacy laws where they apply.

Information an agency or organisation processes through Vantage, Lighthouse or a pilot is governed by the relevant customer agreement and data-processing arrangements, not this policy. We do not use customer investigation data for unrelated purposes.

2. What we collect

The information we collect depends on how you interact with us. If you don't provide information we need, we may not be able to respond to you or consider your application.

  • Enquiries and briefing requests: your name, work email, organisation, role, country or region and your message.
  • Recruitment: your name, contact details, the role you applied for, work eligibility, CV, profile or portfolio links and related correspondence.
  • Publishing accounts: names, email addresses, roles and the drafts, media and articles authorised contributors work on.
  • Correspondence: anything you send us by email or otherwise when you contact us.
  • Use of the site: technical information such as your IP address, device and browser, the pages you view, how you interact with them, referring pages and approximate location.

3. Information from other sources

We may receive professional contact details from someone who introduces you, your organisation, a recruiter or a referee, or from a profile you ask us to consider. We use this only for the relevant enquiry, relationship or recruitment purpose, and let you know about the collection where the law requires it.

4. How we use personal information

We use personal information for the purpose it was collected for, a directly related purpose, or as otherwise permitted or required by law. This includes:

  • responding to enquiries, arranging briefings and sharing information about Azonic with you;
  • assessing applications and managing recruitment;
  • managing publishing accounts and publishing approved articles;
  • running, improving and securing the website, including preventing spam and abuse;
  • keeping business records, handling requests and complaints, and meeting our legal obligations.

6. Service providers

We use trusted providers to run the website and our business. They receive only the information they need for their role and handle it under their own privacy policies. They include:

  • Vercel, for website hosting and file storage;
  • Neon, for databases;
  • Attio, for customer, contact and recruitment records;
  • Cloudflare, for security checks and email delivery;
  • Mux, for video streaming;
  • Google, Microsoft and PostHog, for analytics.

7. Cookies and analytics

We use cookies and similar technologies to keep the site working, keep it secure and understand how it is used. Basic, cookieless analytics runs by default. Other analytics, such as Google Analytics and Microsoft Clarity, only run if you accept cookies.

You can change your choice at any time using Cookie settings in the footer, or block and delete cookies in your browser. Blocking essential cookies may stop some features, such as forms or sign-in, from working.

8. Sharing and public information

We do not sell personal information. Within Azonic, only people who need information for their work can access it. We may also share it with professional advisers, when you ask us to, or where the law permits or requires it.

Published articles, author names and biographies are public and may be copied or indexed by others, so removing them from our site may not remove every copy.

9. Where information is processed

Our providers operate internationally, so your information may be stored or processed outside New Zealand, including in Australia, the European Union and the United States. We take reasonable steps to make sure it remains protected in line with New Zealand privacy law.

10. How long we keep information

We keep personal information only for as long as we need it for a lawful purpose, such as handling your enquiry, completing recruitment or meeting record-keeping obligations. We ask before keeping an unsuccessful application on file for future roles. When information is no longer needed, we delete or de-identify it.

11. Keeping information safe

We protect personal information with measures appropriate to its sensitivity, including encrypted connections, access controls and restricted permissions. If a privacy breach is likely to cause serious harm, we will notify you and the Privacy Commissioner as required by law.

Please do not send classified material, case evidence, passwords or other highly sensitive information through the website; ask us for an appropriate channel first. The website is not an emergency or crime-reporting service. Report security issues to [email protected].

12. Your rights

You can ask whether we hold personal information about you, and ask to access or correct it. Depending on where you are, you may also have rights to ask us to delete it, restrict or object to how we use it, or withdraw your consent.

Email [email protected] with enough detail for us to find the relevant records. We may need to confirm your identity. We will respond as soon as reasonably practicable, and normally within 20 working days.

13. Communications, children and other websites

Contacting us or applying for a role doesn't sign you up to marketing. If we send you marketing emails, you can unsubscribe at any time.

The website is intended for professional audiences and is not designed for children. Links to other websites, and embedded videos you choose to play, are governed by those providers' own privacy policies.

14. Changes, questions and complaints

We may update this policy when our practices or legal obligations change; the date above shows the latest version. If you have a question or complaint, contact [email protected] and tell us how you would like it resolved. You can also complain to the Office of the Privacy Commissioner.
